Privacy Policy

We take your privacy seriously - here's how we handle your information when you stay with us or visit our site.

Last Updated: October 27, 2025

Look, we get it - nobody really enjoys reading privacy policies. But here's the thing: at Glaivorn Empire Hotel, we've been around since the heritage days, and trust has always been our foundation. So we're gonna be straight with you about what info we collect and why.

This policy applies when you book a room, visit our website, dine at our restaurant, use our spa services, or basically interact with us in any way. We've tried to keep the legal jargon to a minimum, but there are some parts where we gotta be specific for compliance reasons.

By using our services or website, you're agreeing to what's outlined here. If something doesn't sit right with you, we'd love to chat about it - our contact info's at the bottom.

Personal Details You Give Us

When you're making a reservation or checking in, we're gonna need the basics:

  • Your name (pretty obvious, right?)
  • Email address and phone number
  • Home address for billing purposes
  • Payment card details (we don't store the full number though)
  • Passport or ID info when required by Canadian law
  • Special requests - dietary needs, room preferences, that sort of thing
Stuff We Collect Automatically

Like most hotels with a website, we track some technical bits:

  • Your IP address and browser type
  • Which pages you visit on our site and how long you stick around
  • Device information and operating system
  • Location data if you've enabled it
  • Booking patterns and preferences over time
Info From Other Sources

Sometimes we get information from:

  • Travel agents or booking platforms you used
  • Social media if you've connected with us there
  • Our loyalty partners and affiliates
  • Public databases for fraud prevention

We're not collecting data just for fun - here's what we actually do with it:

Running Your Stay

Process your booking, manage your room, handle check-in and check-out, process payments, and basically make sure your stay goes smoothly. This is the core stuff we can't operate without.

Personalization

Remember your preferences for next time - like if you always want a high floor or need extra pillows. We're trying to make repeat visits feel like coming home.

Communication

Send you booking confirmations, updates about your stay, respond to your questions, and yeah - occasionally send offers if you've opted in. You can unsubscribe anytime.

Legal Compliance

Keep records for tax purposes, comply with Canadian hospitality regulations, and maintain guest registries as required by law. Not the fun part, but it's mandatory.

Improving Our Services

Analyze trends to figure out what's working and what's not. Like, if everyone's complaining about breakfast timing, we're gonna notice and adjust.

Okay, so cookies aren't just the chocolate chip kind we serve at turndown. Our website uses them too, and here's the rundown:

Essential Cookies

These keep the site working - things like remembering what's in your booking cart or keeping you logged in. Can't really turn these off or the site breaks.

Analytics Cookies

We use these to see how people navigate our site. It's anonymous data that helps us figure out if our new booking system is actually easier to use or just confusing everyone.

Marketing Cookies

These track your visit so we can show you relevant ads later. Like if you looked at our spa packages but didn't book, you might see a special offer. You can opt out of these if they're not your thing.

Third-Party Cookies

Some come from services we use - like Google Analytics or our booking partners. They've got their own privacy policies too.

Managing Cookies: Most browsers let you block or delete cookies. Just heads up that some parts of our site might not work as well if you do. Your browser's help section should have instructions.

We're not in the business of selling your data. But there are times we need to share info with others:

  • Service Providers: Payment processors, booking systems, email services - the folks who help us run the hotel. They're contractually required to keep your data secure.
  • Business Partners: If you booked through a travel site or used a partner's loyalty program, we share relevant details with them.
  • Legal Requirements: If the law says we gotta hand over info - like for tax audits or legal investigations - we will. We don't have much choice there.
  • Safety Situations: If there's an emergency or we suspect fraud, we might need to share details with authorities or other hotels.
  • Business Transfers: If we ever sell the hotel or merge with another company, your data would transfer to the new owners (but same privacy protections apply).

International Transfers: Some of our service providers are based outside Canada. When data goes elsewhere, we make sure there are proper safeguards in place. Your info might hit servers in the US or Europe, but it's always protected.

Under Canadian privacy laws (PIPEDA and provincial equivalents), you've got rights. Here's what you can do:

Access Your Data

Ask us what personal info we've got on file about you. We'll give you a copy within 30 days.

Correct Mistakes

If we've got something wrong - like an old phone number - just let us know and we'll fix it.

Delete Your Data

Request deletion of your info (except stuff we're legally required to keep for taxes and records).

Opt Out

Unsubscribe from marketing emails anytime. There's an unsubscribe link in every promotional message.

Data Portability

Get a copy of your data in a format you can use elsewhere if you want.

Lodge a Complaint

If you think we've messed up, you can complain to the Privacy Commissioner of Canada.

How to Exercise These Rights:

Email us at reservations@glaivornempire.info with "Privacy Request" in the subject line. We'll need to verify your identity first (can't just hand out guest info to anyone who asks), then we'll process your request.

Security's a big deal to us. We've invested in both tech and procedures to keep your info safe:

  • Encryption: All payment data and sensitive info is encrypted both when it's moving around and when it's stored. We use industry-standard SSL/TLS protocols.
  • Access Controls: Only staff who actually need access to guest data get it. And they're trained on privacy practices annually.
  • Secure Systems: Our servers are protected by firewalls, we do regular security updates, and we monitor for suspicious activity 24/7.
  • Payment Security: We're PCI-DSS compliant, which is the credit card industry's security standard. We don't store full card numbers on our systems.
  • Physical Security: Paper records are kept in locked areas with restricted access. When we dispose of documents, they're properly shredded.
  • Third-Party Vetting: Any partner we work with has to meet our security standards too.
Reality Check: No system is 100% hack-proof. We do everything we can to protect your data, but if there's ever a breach, we'll notify you and the relevant authorities as required by law.

Data Retention: We keep your info only as long as needed. Active guest records stick around to personalize future stays. After you haven't stayed with us for 7 years, we'll delete non-essential data. Financial and legal records are kept longer due to tax and regulatory requirements.

Our website and booking system aren't designed for kids under 18. We don't knowingly collect information from minors without parental consent.

If you're booking for a family stay, the adult making the reservation is responsible for any information provided about children in the party. We'll collect basic details needed for the booking (like ages for appropriate room setup), but that's about it.

If you're a parent and think we've somehow collected data from your child inappropriately, reach out and we'll delete it ASAP.

If you've got questions about this privacy policy or how we handle your data, we're here to help. Seriously - don't hesitate to reach out.
